Terms of Service

    Simple, honest terms for a simple, honest product. Here's what you're agreeing to when you use Toucan.

    1. What Toucan Is

    Toucan is a family calendar assistant delivered 100% via WhatsApp. There is no web app to log into — all interaction happens through WhatsApp messaging with our bot. You forward event invitations (text, images, or screenshots) to Toucan, and we extract the details and add them to your shared family calendar. Toucan also offers Gift Nest, family gift wish lists managed over WhatsApp (see section 4).

    2. How You Use the Service

    • Forwarding events: Send or forward messages containing event details to our WhatsApp number. Toucan will extract dates, times, locations, and descriptions using AI.
    • Approve or Edit: Every extracted event is presented back to you with interactive buttons. You must review and approve (or edit) each event before it is saved to your calendar. Toucan uses Google Gemini AI to extract details — while highly accurate, you are responsible for verifying the information before approval.
    • Partner invitations: You can invite a partner or co-parent by sharing your unique invite link. You are responsible for who you share this link with — anyone who uses it will gain access to forward events to your shared family calendar.
    • ICS feed: Toucan provides a private ICS feed URL to sync your family calendar with Google Calendar, Apple Calendar, or any other app. Keep this URL private.

    3. Free Trial & Subscriptions

    Every new family account receives a free trial of 10 event processing requests. After your trial events are used, you'll need to subscribe to continue using Toucan.

    Subscriptions are managed through Stripe. When you choose to upgrade, Toucan sends you a secure Stripe payment link directly in WhatsApp. All billing, invoicing, and cancellations are handled through Stripe's platform.

    If your subscription lapses, your existing calendar data remains intact and accessible via your ICS feed, but you will not be able to process new events until you resubscribe.

    4. Gift Nest (Beta)

    Toucan also offers Gift Nest: gift wish lists you build and manage over WhatsApp and share with family and friends through a private link. Gift Nest is currently a beta feature, so it may change, and features may be added, altered or removed as we develop it.

    Gift Nest is free to use during the beta. We may introduce charges for Gift Nest in future. If we do, we will give you reasonable advance notice before any charge applies, and you will be able to choose whether to continue. Continuing to use Gift Nest after that notice means you accept the new pricing.

    Gift Nest is separate from the calendar free trial and subscription described above: using Gift Nest does not use up your calendar trial events.

    5. Fair Use Policy

    To ensure system reliability and fair access for all families, each family account is limited to:

    300 calendar event processing requests per month

    20 lists per account

    20 family members per account

    These generous limits are designed to accommodate even the busiest families. If you consistently exceed them, we may reach out to discuss your usage. Automated or programmatic abuse of the service (e.g., bot-generated messages) is strictly prohibited and will result in account termination.

    6. AI-Powered Event Extraction

    Toucan uses Google Gemini AI to analyse the text, images, and PDF documents you forward, extracting event titles, dates, times, locations, and attendee information. This processing occurs via secure, enterprise API agreements with zero data retention — your messages are not used to train AI models.

    AI extraction is not infallible. We apply strict validation filters to catch hallucinations (e.g. invalid dates or fabricated events), but you acknowledge that extracted details may occasionally be inaccurate, and you accept responsibility for reviewing events using the Approve/Edit buttons before they are saved to your calendar.

    7. Your Data & Account Management

    Your phone number is never stored in plain text. We use a hybrid privacy architecture: salted SHA-256 hashing for lookups, AES-256-GCM encryption for recovery, and masking for display. This applies to all phone numbers in the system, including authorised senders.

    You can manage your data entirely through the WhatsApp Help Menu (type Help at any time):

    • Export your data: Download a CSV file of all your calendar events via a secure, time-limited link sent in chat.
    • Delete your account: Permanently remove all your data — encrypted phone numbers, children's names, calendar events, authorised senders, and message history. This action is irreversible.

    8. Acceptable Use

    You agree not to:

    • Use Toucan for any unlawful purpose or to transmit harmful, abusive, or offensive content.
    • Attempt to circumvent rate limits, security measures, or fair use policies.
    • Use automated tools, bots, or scripts to interact with the service.
    • Share your partner invite link publicly or with people you do not trust.
    • Reverse-engineer, decompile, or attempt to extract the source code of the service.

    9. Service Availability

    Toucan is provided "as is" and "as available." We strive for high uptime but do not guarantee uninterrupted service. We depend on third-party services including WhatsApp (Meta), Google Gemini, and Stripe — disruptions to those services may affect Toucan's availability. We are not liable for any missed events, scheduling errors, or data loss arising from service interruptions.

    10. Limitation of Liability

    To the maximum extent permitted by law, Toucan and its operators shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the service. Our total liability is limited to the amount you have paid us in the 12 months preceding any claim.

    11. Changes to These Terms

    We may update these terms from time to time. When we do, we'll notify active users via WhatsApp and update the "Last updated" date above. Continued use of Toucan after changes constitutes acceptance of the updated terms.

    12. Termination

    You may stop using Toucan at any time by deleting your account through the WhatsApp Help Menu. We reserve the right to suspend or terminate accounts that violate these terms, abuse the fair use policy, or engage in behaviour that threatens the integrity of the service.
